A postcard can look perfect on screen and still arrive with a white edge, blurry logo, or trimmed phone number if the file was not built for press. This guide to print-ready artwork explains the details that protect your design, your budget, and your deadline before production begins.

For marketers, business owners, office managers, and designers, preparing files correctly is one of the simplest ways to keep a project moving. A clean file gives your printer the information needed to produce consistent color, accurate trimming, and a finished piece that represents your organization well. It also reduces last-minute revisions that can hold up an event banner, direct-mail campaign, sales brochure, or short-run business card order.

Start With the Finished Size

Every print project has a finished size, also called the trim size. This is the size of the piece after it has been cut. A standard business card, for example, finishes at 3.5 by 2 inches. A letter-size flyer finishes at 8.5 by 11 inches. Before you begin designing, confirm the finished dimensions and the orientation – portrait or landscape.

Do not assume that a digital file set to the finished size is ready to print. Commercial printing usually requires bleed for artwork that reaches the edge of the page. Bleed is extra image area beyond the trim line. It allows the press sheet to be cut cleanly even when there are tiny normal variations in trimming.

For most printed pieces, use an 1/8-inch bleed on every side. An 8.5-by-11-inch flyer with full-color background should therefore be built at 8.75 by 11.25 inches. If the background stops short of the edge, bleed may not be necessary, but checking with your printer before setup is still worthwhile.

Keep Important Content Inside the Safe Area

Bleed protects the outside edge. The safe area protects what matters inside the piece. Keep text, logos, QR codes, borders, and key graphic elements at least 1/8 inch inside the trim line. For folded materials, bound booklets, and large-format signs, the needed safety margin can be larger.

Thin borders close to the edge deserve special caution. Even with accurate trimming, a small shift can make a narrow border look uneven. If a border is central to the design, make it noticeably thicker or move it farther from the edge. That small adjustment often prevents a finished piece from looking off-center.

Use the Right Images and Color Mode

A photo that looks sharp in an email or on a website may not have enough resolution for print. For most commercial print files, images should be 300 pixels per inch at their final printed size. A 300 ppi image can still become soft if it is enlarged beyond the dimensions for which it was created.

For example, a photo that is 3 by 2 inches at 300 ppi is suitable at that size. Enlarging it to fill an 8.5-by-11-inch flyer will lower its effective resolution and may cause visible pixelation. Downloading a larger image, using original photography, or resizing the design is usually a better answer than hoping the press will sharpen a low-resolution file.

Use CMYK color mode for files intended for full-color printing. Computer screens display color through RGB light, while print uses inks or toner. Bright RGB blues, greens, and neon shades can shift when converted to CMYK because they fall outside the printable color range.

That does not mean a CMYK file will exactly match every monitor. Screen brightness, paper stock, finishing, and press calibration all affect perception. What it does mean is that the file begins in the color space used for production, reducing surprises. If brand color accuracy is especially important, such as for a logo, franchise material, or trade-show display, provide the correct Pantone color specifications and request guidance before the job goes to press.

Build Black Text and Graphics Correctly

Small black text should generally be set as 100% black rather than a rich black made from multiple CMYK colors. Four-color black text can create slight registration issues, where colored edges appear around letters. At small sizes, that can make even crisp type look fuzzy.

Rich black has a place in large solid backgrounds and heavy graphics because it can appear deeper than black toner or ink alone. But the right mix depends on the press and paper. A printer can recommend a rich black build that produces a clean, consistent result without adding unnecessary ink coverage.

Be equally careful with reversed type – white or light text on a dark background. Fine reversed type can fill in or lose definition, especially on uncoated stocks. Increase the point size or choose a sturdier font weight when readability matters more than a delicate visual effect.

Prepare Fonts, Lines, and Graphic Effects

Fonts are a common source of production problems when an editable design file is supplied without all its typefaces. The safest approach is to create a press-quality PDF with fonts embedded. When appropriate, outlining fonts can also prevent substitution, though it makes text harder to edit later. Keep an editable working file separately so future changes remain easy.

Very thin lines may disappear or print inconsistently, particularly when they are light-colored, screened back, or placed over a background. A line that looks refined on a high-resolution monitor can be too delicate for a physical sheet. Ask for a recommendation if your design relies on hairlines, metallic effects, transparencies, or fine detail.

Transparency, drop shadows, blend modes, and overprint settings deserve a final review as well. Modern PDF workflows handle these features well, but unexpected overprint settings can cause objects to disappear or colors to interact in ways that were not intended. Viewing the exported PDF at 100% and checking it with output preview tools can catch problems before submission.

Export a PDF Built for Production

A high-quality PDF is the preferred format for most commercial print jobs because it preserves layout, fonts, images, and vector graphics in one portable file. Export from the original design application rather than printing to PDF through an office desktop printer setting, which can flatten images, reduce resolution, or alter page dimensions.

When exporting, select a press-quality or high-quality print preset, include bleed settings, and use crop marks only when requested. Crop marks can help identify trim locations, but they should sit outside the bleed area and not interfere with the artwork. For multi-page booklets, manuals, newsletters, or catalogs, send pages as single pages unless your printer specifically asks for reader spreads or printer spreads.

Before uploading, inspect the PDF itself, not just the original layout. Check every page at normal viewing size, then zoom in on logos, phone numbers, legal text, QR codes, and image edges. Confirm that no placeholder image, hidden layer, or old version of the copy remains in the file.

Match the File to the Product

Print-ready requirements change slightly with the product. A folded brochure needs accurate panel dimensions because fold-in panels are often made slightly narrower. A direct-mail postcard needs room for the mailing panel, address block, and postal indicia. A trade-show banner needs adequate resolution at its much larger finished size, even though viewers will stand farther away.

Booklets and manuals also require planning for binding. Saddle-stitched books can experience page creep as the page count and paper thickness increase. Perfect-bound books need allowance near the spine so text is not swallowed by the binding. Yard signs, table covers, window graphics, and other large-format pieces may require different bleed, material, or finishing specifications than a standard flyer.

A Practical Preflight Check

Before submitting your artwork, take a few minutes to verify the essentials:

  • The file matches the confirmed finished size and includes required bleed.
  • Important text, logos, and codes sit safely inside the trim area.
  • Images are high resolution at their final printed size, and color is set to CMYK where appropriate.
  • Fonts are embedded or outlined, small text is built as 100% black, and thin lines remain readable.
  • The exported PDF has been reviewed page by page for correct copy, page order, folds, and finishing instructions.

Proofing is your final opportunity to catch a misspelled web address, an outdated date, or a color that needs adjustment. A digital proof is useful for checking layout and content. For color-critical work, a hard proof or production sample may be the better choice, depending on the project and timeline.

Good print files are not about knowing every technical setting. They are about asking the right questions early, then giving the press clear, accurate instructions.
